Privacy policy

We take the privacy of our clients, prospects, and visitors seriously. This page explains what we collect, why we collect it, and how we handle it.

1. Who we are

Cadent ("Cadent", "we", "our", or "us") provides payroll processing and tax compliance services to small businesses and non-profits. This policy applies to information we collect through our website, our contact channels, and during the course of providing our services.

2. Information we collect

We collect information in three ways:

  • You give it to us. When you complete our contact form, request a quote, or correspond with us by email or phone, you may share your name, business name, email address, phone number, team size, the states you operate in, and details about your payroll situation.
  • You give it to us during onboarding or service. If you become a client, we collect information needed to run payroll and file taxes, including employee names, addresses, dates of birth, Social Security or Taxpayer Identification Numbers, bank account details for direct deposit, wage and benefit elections, and other payroll-related records.
  • Automatically. Our website collects standard server log information (IP address, browser type, pages visited, timestamps) for security and analytics. We do not currently use third-party advertising trackers.

3. How we use information

We use information to:

  • Respond to inquiries and provide quotes.
  • Deliver the services you've engaged us for, including payroll processing, tax filings, benefit deductions, and tax notice resolution.
  • Communicate with you about your account, filings, deadlines, and service updates.
  • Meet our legal, regulatory, and tax obligations, including reporting to federal, state, and local agencies.
  • Improve and secure our website and services.

4. How we share information

We do not sell your personal information. We share information only as needed to provide our services or to comply with the law:

  • Payroll platforms. Cadent operates on top of partners like Gusto and ADP. When you engage us for payroll services, we share the data necessary for those platforms to process payroll, file taxes, and issue payments.
  • Government agencies. We file required forms and remit taxes to federal, state, and local taxing authorities on your behalf.
  • Financial institutions. Banks and ACH processors handle the movement of funds for direct deposit and tax remittance.
  • Service providers. We use a small number of vetted vendors for email delivery, document storage, and similar back-office functions. They are bound by confidentiality and only access information needed to perform their role.
  • Legal obligation. We may disclose information when required by law, subpoena, or court order, or to protect the rights, property, or safety of Cadent, our clients, or others.

5. Cookies and tracking

Our website uses functional cookies to deliver pages, remember preferences, and keep our forms working. We do not use cookies for cross-site advertising or behavioral tracking. You can configure your browser to block cookies; some features of the site may not work without them.

6. Data retention

We retain client payroll and tax records for the periods required by federal and state law (generally at least four years for payroll tax records, and longer for certain wage records). Contact-form submissions from non-clients are retained for up to 24 months and then deleted unless an active engagement begins.

7. Security

We use industry-standard administrative, technical, and physical safeguards to protect information in our care, including encryption in transit and at rest, access controls, multi-factor authentication for staff, and routine reviews of our security posture. No system is perfectly secure, but we work hard to keep your information safe.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of the personal information we hold about you, and to object to or restrict certain uses. To exercise any of these rights, email us at privacy@withcadent.example. We will respond within the time required by applicable law.

9. Children's privacy

Our website and services are intended for businesses and the adults who run them. We do not knowingly collect information from children under 13.

10. Changes to this policy

We may update this policy from time to time. When we do, we'll change the "Last updated" date at the top of this page. If the changes are material, we'll provide additional notice (for example, an email or a banner on the site).
